Yameen Academy Policies

YAMEEN ACADEMY POLICIES

Please read this booklet and keep it in a safe place for future reference. It is important that you follow these policies in order for the Madrasah to be run effectively for the benefit of all pupils.

Aims and Objectives

  • To provide Islamic education, both basic and elementary, to Muslim children irrespective of their race, colour, ethnicity or geographical background.
  • To instill Islamic values and beliefs in the hearts of our pupils in the light of the Qur’an and Sunnah.
  • To instill the love of Allah and His last messenger (SAW) in the minds of the young.
  • To help and develop them to be responsible members of society.
  • To make the Madrasah experience pleasant and enjoyable.

Admissions and Admission Policy

Prospective Students

Minimum age for admission is 6 years. A 5+ student may be enrolled after a short review if they show the required understanding. A meeting is arranged for all successful applicants to complete relevant paperwork. If a child leaves the Madrasah and later wishes to return, they must re-apply; admission and other applicable fees will apply.

Continuing students must confirm their enrolment within the first week of September, 2025.

Admission

  • A non-refundable registration fee of £20 will be charged at the time of admission. This fee also applies for re-admission.
  • Admission will be confirmed when admission fee & full/partial tuition fees are paid.

A further £55 will be charged for buying the Study Pack from Madrasah, which includes a Progress Book, a customised Madrasah backpack, two Islamic Studies books (Text & Work), Qaidah/Tajweed Qaidah, Dua Book, and Arabic Book. If purchased elsewhere, the Progress Book and bag (£20) must still be bought from the Madrasah.

Attendance

It is essential that your child attends every single day and arrives before the session starts. If your child is absent for any reason, inform the office or send a letter with the child upon their return.

Please avoid extended holidays during Madrasah time as this disrupts learning and affects progress. After repeated absence/lateness, parents will be contacted; further action may be taken if issues persist.

A calendar with the yearly holidays is provided at induction or at the beginning of the academic year—please plan around these dates. Do not send your child more than 10 minutes early.

Programs

  • Weekdays: Wednesday to Friday — 5:00–7:00 pm (6 hours/week)
  • Weekend: Saturday & Sunday — 9:45 am–12:45 pm (6 hours/week)

Note: Being stuck in traffic is not an emergency; plan your route and timing accordingly.

Fees Policy

Paying your child’s fees on time is crucial for the smooth running of the Madrasah.

Yearly fees for 6 hours a week (weekdays or weekend): £600.

Option Details
Option 1 £600 one-off payable by 10 September, 2025 (includes £20 discount)
Option 2 Three instalments:
1) £220 by 10 September, 2025
2) £165 by 10 January, 2026
3) £220 by 10 April, 2026

Siblings discount: £30 discount applies to each additional sibling’s fees. The discount will be spread across instalments if Option 2 is chosen. If you have more than one child and are struggling with payment, please speak with Mawlana Mahbubur Rahman Talukdar for alternative arrangements.

Dress Code

Mothers and sisters should observe Islamic principles (e.g., headscarf) when dropping off/picking up or meeting teachers/Head Teacher to create a healthy, spiritual environment.

Boys

  • White thoub and white hat. Trousers must be worn; no shorts.
  • Haircut: No faded cuts around the sides in line with prophetic guidance.

Girls

  • Plain black, loosely fitting jilbab/burqa (3–5 inches loose on either side) and plain black head covering concealing hair, neck, and chest.
  • No make-up or jewellery.

Syllabus Policy

  • Qaidah: Safar Academy’s abridged Qaidah with emphasis on makhaarij and sifaat.
  • Juz ‘Amma & Qur’an: Proper Tajweed is taught; colour-coded mushafs are not used to encourage learning rules.
  • Essential Memorisation: Daily masnoon duas, salah duas, key Islamic information, phrases, and short surahs; advanced students begin Surah Yaseen at Juz 5.
  • Islamic Studies: Safar Academy books (Book 2–8) covering Fiqh, Aqaid, Seerah, Adaab, and Islamic History.
  • Arabic Language: From scratch to advanced based on ability.
  • Practicals: Monthly practical lessons (e.g., salah, wudu, tawaf of Ka’bah).

Health & Hygiene

There is currently one toilet on the premises. Children should use the toilet before arriving and be taught to manage independently. Personal hygiene is essential; shower after sports, change socks daily, and attend in clean attire.

Personal Belongings

Students should bring:

  • Madrasah bag (study pack)
  • Writing book and pen
  • Water bottle

Items Not Allowed in Madrasah

  • Mobile phones
  • Personal stereos, iPods, MP3 players
  • Knives or similar dangerous items
  • Jewellery/expensive watches
  • Chewing gum, sweets, crisps
  • Toys or sports items

Note: Only fruits/sandwiches allowed in weekend sessions.

Home Time

Parents/guardians should wait outside in an orderly manner. Children must be picked up within 5 minutes of home time; in emergencies, call to arrange alternatives.

Child Protection

We strive to provide a secure and valued learning environment. There is zero tolerance for racism and bullying; matters will be dealt with strictly. Parents should contact the office with any concerns.

Islamic Behaviour

We aim to instill Islamic manners and character in all pupils and expect parents to encourage practice at home. Respect and obedience to parents and teachers are essential. Emphasis is placed on punctual and regular salah.

Disciplinary Action

Discipline is vital. There is no physical punishment policy. After exhausting motivational efforts, the procedure is:

  1. Verbal warning.
  2. Lines and/or detention.
  3. Letter to parent.
  4. Meeting with Head Teacher.
  5. Suspension; in certain cases, expulsion if in the best interest of the Madrasah.

Note: For persistent/aggressive behaviour, suspension may be immediate subject to Head Teacher’s decision.

Appointments & Coming to Madrasah

To speak with your child’s teacher or Head Teacher, please make a prior appointment through the Head Teacher.

Homework

Homework is given on the last day of the week and includes reading, memorisation, Islamic Studies workbook, and Arabic. Parents should ensure 20–30 minutes of daily revision.

Madrasah Property

Parents are responsible for any damage caused by their children to property, books, and materials.

Lost Property

Yameen Academy is not responsible for lost items. Items handed into the office will be disposed of if not collected.

Complaints Protocol

We take views, comments, and suggestions seriously. Follow these steps if you have concerns:

  1. Make a telephone call at a reasonable time.
  2. Write a letter/email to the Madrasah (preferred).
  3. Address the issue to the Head Teacher if unresolved.

Do not approach staff directly regarding issues; book via the Head Teacher. Abuse towards staff/management will not be tolerated.

Parents Meetings & Assemblies

A minimum of two parents’ meetings will be held annually; additional meetings may occur as needed. There will also be a short assembly every month with teacher talks and student performances.

Progress Book

Check your child’s homework diary/Progress Book daily for communication between teachers and parents and to track progress.

First Aid & Sudden Illness

In the event of illness/accident, necessary emergency first aid or medical treatment will be used. If you are not contactable in an emergency, hospital treatment may be arranged.

Your Contact Details

Your contact details will be stored in and used by Yameen Academy’s communication system (contact numbers, WhatsApp numbers, emails).

Data Protection Policy (GDPR)

  1. We must have a lawful reason for collecting personal data and do it in a fair and transparent way.
  2. We only use data for the purpose it was obtained.
  3. We do not collect more data than necessary.
  4. We ensure data accuracy and ask parents annually to confirm accuracy.
  5. We do not keep data longer than needed.
  6. We protect personal data and ensure secure processing/storage.
  7. We are accountable and can demonstrate compliance.

Effective Date & Review

The policies are subject to change. These policies take effect from 31/07/2025. They will be reviewed annually.
